Privacy Policy

Last updated: October 15, 2026

This policy explains what information the NovaTech Smart Access website collects, how it is used, and the choices you have. It also explains how we treat the information our customers record in the NovaTech Smart Access software.

1. Who we are

NovaTech operates this website and the NovaTech Smart Access control and permit management software. In this policy, we, us and our refer to NovaTech. You can reach us using the contact details at the end of this page.

2. What this website collects

This website does not have accounts, does not store the messages you write, and does not run a database of visitors.

When you use the Request a demo form, the text you type (your name, company and message) is placed in a new WhatsApp message or a new email on your own device. Nothing is sent until you press send in WhatsApp or in your email application. When you do, we receive what you wrote, together with your WhatsApp number or email address.

3. Cookies and local storage

We use only what is needed to remember your choices:

  • A language cookie (i18n_redirected) that remembers the language you picked.
  • A browser storage entry (sac-web.theme) that remembers whether you chose the dark theme.
  • We do not use advertising cookies, tracking pixels or analytics tools on this website.

4. Third-party services

To display the website we load the Inter and Cairo fonts from Google Fonts. Your browser therefore sends a request, including your IP address, to Google, which is governed by Google's own privacy policy.

When you contact us through WhatsApp or email, your message is handled by WhatsApp (Meta) or by your email provider under their own terms and privacy policies.

5. How we use information

We use the information you send us to answer your request, arrange and run a demo, and follow up about NovaTech Smart Access. We do not sell your information and we do not use it for advertising.

6. Sharing and retention

We share information only with people and services that help us respond to you, or when the law requires it.

We keep correspondence for as long as it is needed to handle your request and our business relationship, and for any period the law requires. You can ask us to delete it at any time.

7. Data recorded in the NovaTech Smart Access application

Our customers use NovaTech Smart Access to manage access to their sites. To do so they may record personal data about employees, visitors, contractors and drivers, such as names, ID document details, photos, phone numbers, vehicle plates, the permits issued to them and every entry and exit at their gates.

This data belongs to the customer, who decides what is recorded, why, who can see it and how long it is kept. NovaTech processes it only to provide the service, on the customer's instructions and as described in the agreement with the customer. If you visited a site that uses NovaTech Smart Access and have a question about your data, please contact the organization that runs that site first; we will help them answer you.

8. Passes and messages sent for our customers

When a customer sends you an access pass, the message is sent by email, WhatsApp or SMS to the address or number the customer recorded. The public pass page opened from that message shows the pass number, the site, the gate and the validity, but not your name, your ID details or your photo. Each message sent is logged so that the customer can confirm it was delivered.

9. How customer data is protected

Each customer's data is kept in a separate database. Access inside the application is controlled by user roles and permissions and can be limited to a single site. Every permit, approval, gate scan and override is recorded in an audit trail with the user and the time. Connections to the application are encrypted.

10. Your rights

You may ask us to tell you what information we hold about you, to correct it, to delete it, or to stop using it for a purpose you object to. For data recorded by one of our customers, we will pass your request to that customer and help them respond. Write to us using the contact details below and we will respond within a reasonable time.

11. Security

We use reasonable technical and organizational measures to protect information, including encrypted connections to this website and to the application. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

12. Changes to this policy

We may update this policy when our website, our software or our practices change. The date at the top of the page shows when it was last updated. Continuing to use the website after a change means you accept the updated policy.
